Where do I record fuel or other vehicle costs?

Open Money Out and enter the payment date, amount and a clear description. Choose Travel and vehicles (shown as Car, van and travel expenses in professional wording) and attach the receipt. If the payment covers both business and private use, change the business-use percentage so only the business portion is included in allowable totals. If the customer uses simplified vehicle expenses, fuel and other running costs are covered by the mileage rate and must not also be claimed as separate actual costs. Check the current GOV.UK guidance before deciding which treatment applies.

Step by step

  1. Choose Money Out and enter the date, amount and a clear description of the fuel or vehicle payment.
  2. Choose Travel and vehicles. In professional wording, this is Car, van and travel expenses.
  3. Attach the receipt. If the payment includes private use, change the business-use percentage so Sumvra includes only the business portion in allowable totals.
  4. Before including actual fuel costs in allowable totals, check whether the customer instead uses simplified vehicle expenses, because the mileage rate already covers fuel and other running costs.
  5. Open the linked GOV.UK guidance and check the customer’s circumstances before filing or giving tax advice.
