Who is responsible?

Sumvra is a pre-launch UK business and is responsible for the information submitted through this website. For privacy questions, use the secure enquiry form and choose “Data protection request”. This keeps the request in Sumvra’s protected correspondence system rather than publishing an email address.

What we collect

Your name, email address, optional business name, enquiry topic and message. We also use one-way technical references to control spam and estimate website activity. Raw internet addresses are not stored with enquiries or in the activity report.

Why we use it

We use the information to manage and respond to requests, protect the form from misuse and understand whether the website is working well. Depending on the request, this is to take steps you ask for before a contract or for our legitimate interests in secure customer service and service improvement.

Simple website statistics

Sumvra does not use advertising trackers or analytics cookies. The server creates a rotating, one-way daily visitor reference from limited connection information. Current-day references are removed after daily aggregation; daily totals are kept for up to 90 days. They are not used for advertising or individual profiling.

Who receives it?

Authorised Sumvra administration users and service providers needed to host, protect and deliver enquiry communications. The built-in app help search uses Sumvra guidance on this server and does not send the ticket to an external AI service. An optional external answer service is not currently used. If that changes, this notice and the relevant safeguards will be reviewed before it is enabled. We do not sell enquiry details or add you to marketing lists from this form.

Human review of suggested replies

The built-in helper searches stored Sumvra app guidance and can suggest wording. Stored HMRC references are clearly marked because they are not a live check of current rules. The helper does not send messages or make decisions. An authorised Sumvra administrator must review, edit and deliberately send every customer reply.

Replies sent by email

A website customer may reply directly to a Sumvra ticket email. The mail is received by Sumvra’s protected mailbox and accepted only when its private reply reference and sender address match the existing ticket. Sumvra stores only the checked plain-text message in the private ticket record. Attachments, automated replies, oversized messages and unmatched mail are not added to a ticket.

How long we keep it

Closed enquiries and their reply history are automatically removed after 12 months. Open enquiries are reviewed so information is not kept longer than needed. Suggested answers are not saved by Sumvra as ticket records. A different legal retention period may apply if an enquiry becomes part of a contract or legal record.

Your choices and rights

You can ask for access, correction or deletion, restrict or object to certain uses, and complain to the Information Commissioner’s Office. Some rights depend on the circumstances and lawful basis.

Pre-launch notice: We use enquiry details only to respond to the person contacting us and to operate the secure enquiry service described above. Full legal-controller details will be published before customer accounts, payments or the public service launch. The activity measurement and any future external answer service wording will receive a professional UK data-protection review before those features are enabled for broader public use.
